Learn how to build an autonomous AI assistant that joins meetings, analyzes transcripts, and crafts compelling case studies.

In this guide, you'll learn how to set up and customize a Case Study Drafter Lindy that:

Joins your customer calls
Analyzes meeting transcripts to extract key information
Crafts persuasive case studies based on the meeting content
Revises drafts based on your feedback
Exports the final version to a Google Doc

And the best part? This will take less than 6 minutes to set up.

Let's get started!

Add The Lindy To Your Account

To begin, add the Case Study Drafter to your Lindy account. Once added, open the Flow Editor to see how it works.

Customize The Triggers

This Lindy is configured with two triggers, giving you flexibility in how you initiate the case study drafting process:

Message Received Trigger
Google Calendar Event Started Trigger

1. Message Received Trigger

This trigger allows Lindy to activate when you send her a message in the task view of the Lindy app, either with a meeting link or a meeting transcript. No additional configuration is needed for this step.

2. Google Calendar Event Started Trigger

This trigger enables Lindy to automatically join scheduled meetings. To configure this step, click the Google Calendar Event Started trigger.

Connect your Google Calendar and ensure the “Minutes Offset” field is set to “-1”. This means the workflow will initiate 1 minute before the Calendar Event begins.

You can apply Trigger Filters to ensure Lindy only joins specific calls (e.g., customer case study calls).

Understanding The First Condition

After the Message Received trigger there is a Condition to determine which actions Lindy should take next.

The two conditions are:

the message is a meeting link (zoom, google meets, etc)

the message is a meeting transcript and not a meeting link

These conditions allow you to:

Send a meeting invite link via the chat, which Lindy will join as an attendee to transcribe and record the call.
Send a transcript, which Lindy will immediately use to draft a case study.

The Record Meeting Action

After the Calendar Event Started trigger and the "the message is a meeting link" condition, you'll see the Record Meeting action. This action allows Lindy to join and record your scheduled meetings.

Click on the Record Meeting action to configure it.

In the “Chat Message on Join” field, you can customize the message Lindy sends to the meeting attendees once she joins. If you prefer Lindy to join silently, keep this field on "Set Manually" mode and leave it blank.

You can customize the name of your Lindy-bot in the “Name” field. This is how Lindy will appear to other participants in the meeting.

No further configuration is needed for this action. Lindy will now be able to join and record your meetings automatically, either through your calendar events or when you send her a meeting link.

Case Study Drafting Process

Click the first Chat Send Message action in the Flow Editor to view the prompt in the Message field. This is where the magic happens - Lindy uses this prompt to craft your case study from the meeting transcript.

Here's the default prompt:

You are an outstanding case study drafter and a seasoned marketing professional. Craft a phenomenal, persuasive, and compelling case study using the meeting transcript provided.

First, analyze the transcript, identifying key questions asked and the interviewee's responses.

Second, structure the case study as follows:

1. Headline
   • Quick, punchy result or benefit. Example: "How [Customer] Increased Productivity by 40% with [Product]"

2. Customer Overview
   • Brief introduction of the customer, including industry, size, and relevant background.

3. Challenges / Pain Points
   • Explain the main problems or needs the customer faced before using your product.

4. Solution
   • Highlight the quantitative and qualitative benefits of your product.

5. Result
   • Quantify outcomes (metrics, KPIs). Provide concrete numbers like time saved, revenue generated, or improvements in efficiency.

6. Customer Quotes
   • Include relevant, impactful quotes from the customer throughout the draft.

7. Conclusion
   • Recap the transformation and reaffirm the value of the product and its impact on the interviewee.

Always personalize the content based on the specific information provided in the transcript.

Feel free to modify this prompt to match your preferred case study format and style. You can add specific instructions about your company's tone, key messaging points, or any particular information you always want to be included.

Remember, you can add company details and more context in the Lindy-level settings. You can also include examples of your best case studies there. Lindy will use this additional information to further refine and personalize the case studies she drafts.

Use this prompt as an outline for the case study structure and what you want extracted from the transcript. The more guidance and examples you provide, the better Lindy will be at crafting case studies that match your exact needs.

Handle User Feedback And Revisions

After the Chat Send Message action, you'll see a Condition step. This step allows Lindy to determine whether to proceed with creating the Google Doc or to make revisions based on your feedback.

Click on the Condition step to view the two conditions:

The Final Copy Is Ready For Export condition is the path Lindy will go down when there’s no additional feedback. Here’s the prompt:

the user is ready for you to export the copy onto a Google Doc.

The Edits Required condition is the path Lindy will go down when you request feedback on the case study. Here’s the prompt:

the user has requested further edits, is asking about the case study, wants a change made or implies that they are not ready for the case study draft to be exported onto a Google Doc.

The Edits Required condition is connected back to the first Chat Send Message action.

This setup enables an iterative process where you can review and refine the case study draft before it's finalized. You can provide feedback, request changes, or ask questions, and Lindy will revise the draft accordingly.

No further configuration is needed for this step. Lindy will use these conditions to determine whether to proceed with creating the Google Doc or to make revisions based on your input.

Set Up Google Doc Creation

The Final Copy Is Ready For Export condition is connected to a Google Docs Create Document action. This action allows Lindy to create a new Google Doc with the final case study content.

Click on the Google Docs Create Document action to view its settings.

Select the “Folder” where you want your case studies saved.

For the "Title" field, we recommend switching it to "AI Prompt" mode. You can then use a prompt like this to name each document:

{Today's Date} | {Customer's Name} Case Study

For the "Content" field, also switch it to "AI Prompt" mode. Here's a sample prompt you can use:

Document the final copy of the case study draft.

Title the document: {Customer's Name}

Subtitle: {Today's Date} | {The user's name}

Then document the case study below.

Feel free to customize these prompts to fit your specific needs and preferences for how your case studies should be titled and formatted.

Send The Final Document

After the Google Docs Create Document action, you'll see a final Chat Send Message action. This action allows Lindy to notify you that the case study has been completed and provide you with the link to the newly created Google Doc.

Click on the Chat Send Message action to view its settings.

The "Message" field is set to "AI Prompt" mode with the following default prompt:

Thank the user and let them know you have exported the final case study draft, and send them the GDoc link.

This prompt instructs Lindy to craft a message thanking you, informing you that the case study draft has been exported, and providing you with the link to the Google Doc.

Feel free to modify this prompt if you want to customize how Lindy communicates the completion of the case study.

Customize Your Lindy's Context

Before testing your Lindy, you may want to customize its Context. This helps ensure your case studies align with your brand and highlight your product's unique value.

Context is a set of overarching instructions that Lindy keeps in mind at every step in the automation. These instructions are added as a prefix to every LLM call made by this Lindy, in all her steps, giving her useful context about the task she is performing.

To access Lindy-level settings, click the "Settings" tab beside the Flow Editor and Tasks tab at the top of your page.

Find the "Context" field on the Settings page.

The existing context provides a strong foundation, but adding company-specific details can enhance your results. Consider including information about your brand voice, key selling points, and preferred case study structure. Adding example case studies is particularly powerful in getting high-quality, aligned output from this Lindy.

Remember, you can always refine these instructions as you review your Lindy's output.

Test Your Lindy

Now that your Case Study Drafter Lindy is set up, it's time to test it out! You have two options for testing:

Option 1: Automatic Call Joining - Schedule a test customer case study call in your connected calendar. Lindy will automatically join the call at the scheduled time. Conduct your call as usual, and Lindy will record and transcribe it.

Option 2: Send a Transcript - If you prefer, you can simply send a sample transcript to your Lindy through the Lindy app chat.

After either option, review the drafted case study that Lindy produces. Provide feedback if needed. Once satisfied, instruct Lindy to create the Google Doc and check that you receive the final Google Doc link.
