Meeting Notes: 101

Learn how to build a Lindy that records, transcribes, and follows up on your meetings.

Let's face it – keeping track of everything discussed in meetings can be overwhelming. Think of Lindy as your meeting sidekick, joining your calls, recording them, generating detailed notes, and handling all those time-consuming post-meeting tasks across various apps like Slack, Hubspot, and Gmail.

This Meeting Notetaker Lindy will revolutionize how you handle meetings and follow-ups.

Here's what it does:

Joins calls based on your Google Calendar events
Records and transcribes the call
Creates a Google Doc with custom meeting notes
Sends you a Slack Direct Message with call summaries and action items
Performs various post-meeting tasks across different apps

Let’s get started!

This will take 2 minutes to setup.

Once you have added the Lindy to your account, open the Flow Editor to see how it works.

To begin, connect the Google Calendar with the meetings you want Lindy to join in the Calendar Event Started trigger step.

You can add trigger filters to the calendar events that wake up Lindy and begin the workflow. This give you more control over the meetings Lindy will join. For instance, in this example we’re filtering for events that contain “Demo Call” in the name.

The next step in the workflow is a Condition. You can click on this step to view or edit the condition statement. By default, the first condition tells Lindy to only continue if the event contains a meeting link.

In the Chat Message on Join field of the Record Message Action, you can customize the message Lindy sends to the meeting attendees once she joins the meeting. To remove the chat message sent by Lindy, keep the field on “Set Manually” mode and leave it blank.

You can also customize the name of your Lindy-bot in the Name field.

In the Create Document step, you can connect your Google Account so Lindy can create a Google Doc for the meeting notes. Choose which Folder you want the document saved in each time Lindy creates one via the Folder field.

We recommend you create a Folder specific to your meeting notes, this way you can create a Chat with Your Meetings Lindy to query your meeting notes.

Once you have selected a Folder, you will be able to configure the Title and Content fields of the Google Document.

These fields will instruct Lindy on how to title your document and structure the content of your meeting notes.

When fields are set to “AI Prompt” Lindy will use these instructions, in combination with the meeting transcript, to generate the notes.

Here is a prompt for the Content field to receive two summaries of your meeting, one high level, and one detailed, along with action items.

Prompt:

When you receive the transcript, provide two summaries of it:
1. One high level summary, 3 bullet points max, including the next steps if any.
2. And a second one, a bit more in depth. If there were any action items, include them in their own section.
Keep the summary very concise — feel free to make it not totally grammatically correct so it's shorter. And include formatting, like bolded titles for the different parts of the meeting.
3. Extract all action items, tasks, requests and commitments that were discussed during the call.
Document them explicitly with detail, including names, dates and numbers.
Send the summaries to the user directly as a lindy message.

In the Chat Send Message action, Lindy will also send you the meeting notes in the Lindy app, making it easy for you to skim through tasks and notes from your meetings. Note, that this is not a mandatory action.

For the last step, connect your Slack account in order for Lindy to send you a direct message with the newly created Google Document with the meeting notes.

There is a pre-built prompt in the Message field, telling Lindy to send you the meeting notes, along with the link to the Google Document. Because Lindy has full context from all steps before the Slack Direct Message action, the prompt can refer to the actions that proceeded it.

You did it! Now your Meeting Notetaker is set up to record, document meeting notes on a new Google Doc, and send you post-meeting notes via Slack.

You can view your meeting history in the Task View of your Meeting Notetaker Lindy.

From there, you can watch the recording, see the transcript, and get visibility into the actions Lindy took after the call.
