Outbound Phone Calling: 101

Learn how to use Lindy to perform automated outbound phone calls.

Lindy is your autonomous phone-calling agent, functioning just like a true sales development representative. Think of it as a proactive part of your team—simply provide lead information through the Task view or CSV upload, and Lindy will handle outbound calls, schedule consultations, and keep your team informed of call outcomes.

You can get started with a Phone Calling Lindy that will:

Make outbound calls to leads from your provided lead list
Engage in natural conversation with potential customers
Negotiate and schedule consultations
Update your team via Slack about call outcomes

This Lindy will take less than 5 minutes to set up.

Set Up

If you have not already added the Phone Calling Lindy to your account, do this now. Open the Flow Editor to see how it works.

Note: It is strongly recommended to use GPT-4 Turbo as a Default Model when building phone call agents. You can configure this in your Lindy-level Settings under "Default Model".

The Chat Message Received (Lead info received) trigger allows Lindy to receive lead information in two ways:

Direct message through Lindy's task view
CSV upload: To upload a CSV of leads, drag and drop the file under the "New Task" button in the Lindy’s Task view

For CSV uploads, ensure your lead sheet includes the following:

Lead name
Phone number
Product/service interest information
Lead source context

Each new row (with given lead data) on your CSV will create a new task in your Lindy's task view.

If you have 79 leads on your CSV, Lindy will ask for confirmation to create 79 simultaneous tasks before performing the outreach.

Note: You can customize Lindy's prompts to remove the need for product / company context if you prefer to have a more specialized agent.

Task URL Retrieval

After the trigger, there is a Get Task URL step.

This step retrieves the URL of the current Lindy conversation. This URL will be:

Generated automatically for each task execution
Included in team notifications (on Slack)
Used for reference and tracking purposes

Setting Up Outbound Calls

Click the Make Outbound Call action to configure your Lindy Phone settings.

Configure the "To" number:
- Switch this field to “Prompt AI” mode and add a prompt that instructs Lindy to use the phone number given in the message received (the lead list or message sent from the user)
- Example prompt: phone number given to you from the message

Set up the "From" number:
- Choose an existing Lindy Phone number or purchase a number for $10/month.

AI Agent Configuration

The AI Agent (Book lead a consultation) step contains conversation instructions in the "Prompt" field.

Review and customize these to ensure they align with your:

Company voice and tone
Specific product or service offerings
Scheduling requirements
Call handling preferences

Make sure to add instructions for handling automated voice messaging systems in the prompt and customize them to your preferences.

This AI Agent step has one skill: the Lindy Phone End Call action

The Lindy Phone End Call action allows Lindy to hang up the phone. This is important for scenarios where Lindy gets an automated voice messaging system and needs to terminate the call.

We recommend you avoid using skills within the AI agent step during a call to reduce latency and potential pausing of your phone agent during a conversation. Use actions after the call ends instead.

Call Completion Handling

The workflow includes two ways to handle call completion:

Exit Condition:
- Triggers when Lindy determines the conversation is complete or the other party ends the call
- The Exit Condition default prompt is: "you're ready to end the call OR the other party has ended the call."

After the End the call step:
- Initiates when the call ends for any reason
- Ensures all the proceeding actions are taken after the call is over, regardless of the ending circumstance

Call Notifications

The final step is the Send Channel Slack Message (Alert the team of the outcome) action, which:

Alerts your team about call outcomes
Includes the Task URL for reference
Provides quick access to call details

Be sure to configure this step by switching the “Channel” field to "Set manually" and entering your preferred Slack channel.

Edit the existing “Message” prompt if you have specific requirements for your Slack alert.

Testing Your Phone Calling Agent

To test your Lindy:

Create a test lead entry either through:
- Manual task creation (send Lindy a message in the Task View with all necessary lead info)
- Single-line CSV upload
Monitor the call execution in the Lindy’s Task View
Verify Slack notifications
Review task URLs and call outcomes
